We collect information you choose to submit and limited technical data needed to operate the site securely.

Information you provide

Depending on how you engage with Vimmix Digital, you may submit information through:

• Contact forms — name, email, optional phone, company, service interest, investment-scale signal, message content, and attribution fields you submit.
• Booking brief forms — contact details, preferred timing, project context, and scheduling preferences when a hosted scheduler is not in use.
• Review or feedback forms — name, email, rating, comments, and optional referral name and email if you choose to introduce someone.
• Sample / examples unlock — when that surface is enabled, name, mailing address, and mobile phone (NAP) to send a one-time verification text.
• Payment flows — when we issue a Stripe payment link for an agreed scope, payment details are collected directly by Stripe, not stored on this site.

We do not require an account to browse the site. You may choose not to submit forms, but we cannot respond to inquiries or deliver services without the contact information you provide.

Automatically collected data

Like most websites, our hosting infrastructure may log standard technical information such as IP address, browser type, referring URL, and request timestamps for security, abuse prevention, and reliability. This server-level logging is separate from our analytics program described below.

How we use your information

We use submitted information to:

• Respond to inquiries, proposals, and support requests
• Schedule and prepare for discovery calls or project kickoffs
• Deliver contracted services and communicate about active engagements
• Improve our website, offers, and client experience
• Comply with legal obligations and enforce our terms

We do not sell your personal information. We do not use form submissions for unrelated third-party advertising.

Third-party services

We use trusted providers to operate the site. Their use of your data is governed by their own privacy policies.

• CRM (HubSpot) — when configured, lead and contact data from forms and booking flows may sync to HubSpot so our team can follow up and track engagement. If HubSpot is not configured, submissions are handled through internal processes.
• Scheduling (Cal.com or equivalent) — when configured, booking may route to a hosted scheduling provider. Availability and calendar data are managed by that provider. When scheduling is not configured, the booking brief form on this site applies.
• Payments (Stripe) — Stripe checkout is used only when we explicitly issue a payment link for your agreed scope. Card and billing details are processed by Stripe; Vimmix Digital does not store full payment credentials on this site.
• SMS (Twilio) — used only to deliver a one-time verification code when examples unlock is enabled. Phone numbers are used for that verification and related follow-up you consented to.
• AI Lab (OpenAI) — the authenticated Lab chat sends prompts you enter to the model provider to generate responses. The Lab is not a public visitor form.
• Client vault — invite-only; unlocked with a token we issue, not a public password on this site.
• Hosting and infrastructure — the site is hosted on modern cloud infrastructure that processes requests and may retain standard server logs.

Analytics

When enabled, Vimmix Digital uses PostHog for privacy-conscious, opt-in analytics. Analytics are not loaded until you accept cookies or analytics preferences where a consent banner is shown.

We track explicit conversion events only — such as CTA clicks, form submissions, booking starts, checkout starts, and approved example views. Event payloads intentionally exclude message contents, names, email addresses, phone numbers, and other form-submitted personal information.

You may decline analytics cookies without affecting your ability to submit forms or use the site. If you previously opted in, you can clear site cookies or contact us to request that we stop associating further activity with your session.

Data retention

We retain contact and project information for as long as needed to respond to inquiries, deliver services, maintain business records, and comply with legal obligations. Inactive marketing leads may be archived or deleted according to our internal retention schedule. You may request deletion of your data subject to legitimate business or legal retention requirements.

Your rights

Depending on where you live, you may have rights to access, correct, delete, or restrict processing of your personal information, and to object to certain uses. To exercise these rights, contact us using the details below. We will respond within a reasonable timeframe and may need to verify your identity before fulfilling a request.

If you are in the European Economic Area, United Kingdom, or California, additional rights may apply under GDPR, UK GDPR, or CCPA/CPRA. We do not discriminate against individuals who exercise privacy rights.

Children's privacy

This site is intended for business audiences. We do not knowingly collect personal information from children under 16. If you believe a child has submitted information, contact us and we will delete it promptly.
